Job Summary:

The Facility Manager is responsible for managing the operations and maintenance activities of the Al-Rajhi Investment Company’s facilities, or managing and supervising related third-party outsourced service agreements.

Primary Duties & Responsibilities:

  • Contribute to the development of the Property Management Division’s performance objectives as they relate to the Facility Management Department and manage their successful execution.
  • Contribute to the Property Management Division’s budget determination process by accurately forecasting the Facility Management Department’s budgetary requirements; in line with the Company’s annually projected financial targets.
  • Suggest and draft business cases for all of the department’s projects as required by the Head of Property Management, and in line with the Company’s policies for project planning, management and execution.
  • Monitor the financial performance of the department against the approved budget, ensure accurate and timely reporting on variances to the Head of Property Management, and manage the implementation of corrective measures and plans as per directions from the Head of Property Management.
  • Monitor the operational performance of the department against the approved targets and performance metrics, report on variances to the Head of Property Management, and manage the implementation of corrective measures in coordination with the Strategy and Business Support Department.
  • Manage the selection and employment of experienced and qualified candidates; assigning professionals with the required level of competence and skill to appropriate jobs within the Department; in line with the Division’s directions for enhanced performance and service excellence.
  • Set the annual individual performance objectives and corresponding evaluation metrics for the Facility Management Department’s employees, cascading the Property Management Division’s annual performance targets as approved by the Strategy and Business Support Department; and periodically evaluate the employees’ performance according to the Company’s annual performance process and policies.
  • Provide input to the Head of Property Management on the workforce requirements of the Facility Management Department when required, based on functional expertise and the appropriate division of work.
  • Manage the Facility Management Department’s implementation of corresponding corporate and divisional programs, action plans and operational activities; ensuring full compliance with the Company’s policies and procedures, corporate values and objectives for enhanced performance and service excellence.
  • Develop the annual operations and maintenance budgets based on past trends and the forecasted needs of any upcoming maintenance projects, and discuss it with the Property Director and other stakeholders within the Al-Rajhi Investment Company as necessary.
  • Define and mobilize the required operations resources (systems, workforce, processes, equipment, materials, etc.) to direct and monitor the operation of facilities as required, review and approve cost reports and manage and control budgets in coordination with the Finance function.
  • Conduct periodic property inspections and plan, schedule and coordinate general and preventive maintenance, major repairs and remodeling for the Company’s properties.
  • Inspect any damage to facilities, facility premises and/or resources, and oversee insurance matters and damage claims; involving the Legal function if required.
  • Evaluate and recommend third party maintenance service proposals for the Property Director; creating detailed assessment reports based on cost – benefit analysis, vendor evaluation and scope of services to be provided.
  • Provide technical expertise on all maintenance projects; ascertaining timely, cost effective and efficient adherence to quality, health, safety, security and environment standards; and obtain the approval of the concerned stakeholders within the Al-Rajhi Investment Company as required.
  • Ensure the efficient, effective, safe and qualitative execution of all maintenance projects, in compliance with local regulations and the Company’s policies and procedures for health, safety, security, environment and quality assurance standards.
  • Manage all maintenance projects, in coordination with the concerned functions within the Al-Rajhi Investment Company, to ensure the timely completion of maintenance work within scope, on time, and according to the contractual agreements with tenants.
  • Work co-jointly with the Procurement Manager on defining the annual procurement strategy, plan and budgets providing expertise on trends, facility operations and maintenance records, and knowledge of any upcoming or emerging needs for major works.
  • Oversee the implementation, distribution and adherence of all technical policies, procedures and controls and ensure that all transactions are in compliance with the Company’s set policies, procedures, project management standards and management requirements.
  • Create, maintain and update records of operation and maintenance works, technical documents, and comprehensive project management documentation on large renovation or remodeling projects; including progress reports, monthly costing and vendor / service provider evaluation.
